How quickly you reply to messages matters—but it doesn’t have to take over your life. With a few clear expectations and habits, you can respond professionally without being glued to your phone.

What’s a “good” response time?
Aim for: within 24 hours on business days for most small businesses.
Faster is great (1–4 hours), but not required unless you’ve promised it.
Set expectations in your bio, autoresponder, or website (for example: “We reply within one business day”).
Simple ways to respond faster
Check DMs and comments at set times (for example: late morning and late afternoon).
Use saved replies for FAQs, then personalize the first line with their name.
Turn on notifications for messages, but batch your replies so you’re not interrupted all day.
What if you miss a message?
Reply as soon as you see it and own it briefly:
“Thanks so much for your patience—I just saw this!”
Still give a helpful answer or next step:
“Here’s what I’d recommend…” or “You can book directly here: [link].”
If the opportunity passed (event or date is over), offer an alternative:
“I’m sorry I missed this! That date is past, but here’s what I can offer now…”
